Privacy

Your notes are the most personal thing this app holds, and most of them are things you said out loud. This page is what happens to them, in plain terms.

What we collect

Only what a note taker needs to be one. There is no analytics vendor, no advertising identifier and no third-party tracker on this site.

  • Your email address and, if you set one, a display name and a profile picture.
  • The notes you write or dictate: the text, the transcript, and the original recording when there is one.
  • Files you attach to a note — images, video, audio and documents.
  • Preferences: your recording language, theme and sound settings.
  • Sessions: one row per signed-in device, so a session can be revoked.
  • If you turn on notifications, a device token that identifies the handset and nothing about you.

Who can read your notes

You. Every table and every storage bucket is protected by row-level security keyed to your account, evaluated by the database on each request rather than by application code that could forget. A note you did not write is not something the service is able to return, and that is enforced one layer below the part of the system that could have a bug in it.

Recordings, attachments and profile pictures live in private buckets. Nothing in them has a public URL: the app stores the object's path and signs a short-lived link at the moment you open it.

The trial on the homepage

You can transcribe without an account. Those takes are not saved anywhere — the audio streams from your browser to Nia's transcription service and the words come back to your screen. Nothing is written to our database and nothing is written to storage.

The only thing we keep is a count. A small cookie records how many free takes this browser has used so the limit means something, and it holds a number and nothing else.

Where transcription and summarising happen

Audio is transcribed by Nia's own models, and summaries and answers are generated by Nia's AI gateway. Your browser opens the transcription connection directly, so the audio does not pass through our application servers on the way.

Nia processes these requests and stores nothing from them. Persistence is entirely ours, which is also why deleting a note here is the whole of deleting it.

Email

We send exactly six kinds of message, all of them about your account: confirm your address, sign in trouble, reset your password, and the notices that confirm those actions happened. They are sent over our own mail server, not a marketing platform, and there is no newsletter to unsubscribe from because there is no newsletter.

Deleting things

Deleting a note moves it to the trash, where you can put it back. Emptying the trash is a real deletion: the note, its transcript, its tag links, its audio row and every file it held are removed, and there is no copy behind them.

To delete your account and everything in it, write to us and it will be done.

Children

Nia Notes is not intended for anyone under 13, and we do not knowingly collect anything from them.

Changes

If this policy changes in a way that affects what happens to your notes, the change is announced by email to the address on your account before it takes effect — not published quietly with a new date at the top.
